Position: Scheduler (Part-Time)
We are seeking a Scheduling Coordinator to manage a variety of tasks related to recruitment, orientation, and employee placement. The Scheduler will ensure adequate staffing for the community and assist residents with their activities of daily living, enabling them to lead a fulfilling life while preserving their dignity.
Essential Functions:
- Manage and maintain the monthly schedule for Nurses and Care Partners.
- Fill open shifts as needed, covering call-offs with staff or agency personnel when applicable.
- Provide coverage for open shifts on the floor as necessary.
- Be available on-call for scheduling needs as assigned by the manager.
- Respond to scheduling phone calls within one hour of receipt.
- Keep the scheduling phone with you at all times while on duty.
- Communicate staff call-ins to the manager on the following business day.
- Ensure sufficient staffing for the community at all times.
- Gain on-shift experience to understand staffing needs.
- Assist residents with medication reminders, bathing, grooming, dressing, escort services, and other activities of daily living.
- Respect and promote the independence and dignity of the residents.
- Maintain confidentiality regarding residents’ information.
- Attend mandatory training, in-service programs, and staff meetings.
- Strive to uphold a safe working environment through accident prevention and adherence to safe practices.
- Maintain a positive and professional demeanor when interacting with residents, visitors, families, and co-workers.
Front Desk Responsibilities:
- Greet and welcome guests promptly upon their arrival at the office.
- Direct visitors to the appropriate personnel and offices.
- Answer, screen, and route incoming phone calls.
- Ensure the reception area is tidy and presentable, stocked with necessary stationery and materials (e.g., pens, forms, brochures).
- Provide accurate information to visitors both in-person and via phone/email.
- Receive, sort, and distribute daily mail and deliveries.
- Uphold office security by adhering to safety procedures and managing access via the reception desk (monitor logbook, issue visitor badges).
- Order and maintain inventory of front office supplies.
- Update calendars and coordinate meetings.
- Arrange travel and accommodations, and prepare vouchers as needed.
- Keep accurate records of office expenses and costs.
- Perform additional clerical receptionist duties, including filing, photocopying, transcribing, and faxing.
Qualifications:
- Proven experience as a staffing coordinator or similar role.
- Experience in the planning and execution of HR functions (onboarding, hiring, etc.).
- Strong knowledge of relevant legal regulations (e.g., equal employment opportunity, relocation laws, visa procedures).
- Understanding of staffing policies, procedures, and best practices.
- Exceptional organizational and leadership skills.
- Excellent communication and interpersonal abilities.
- Reliable in maintaining confidentiality.
