Job description:

The Customer Service/Event Scheduler is an integral member of the Welcome Desk team at the W.A. Lettinga campus, responsible for working shifts at the Welcome Desk. In this role, the Event Scheduler collaborates closely with leaders in Admissions and Strategic Partnerships to plan and execute non-athletic facility rentals and support campus events across general and academic spaces. This position serves as a liaison between event requestors and internal resources, including facilities, IT, and catering, while adhering to relevant university policies. The individual will focus on fostering positive customer relationships through every interaction and will conduct all responsibilities ethically, in alignment with the University’s mission, vision, and values of diversity, equity, and inclusion.

Responsibilities:

As an Event Scheduler:

  • Facilitate and staff non-athletic rental events hosted by external clients at the W.A. Lettinga campus.
  • Manage rental event inquiries, conduct facility tours, and oversee a rental calendar.
  • Coordinate site visits with external clients and vendors.
  • Process event forms, room reservations, payment arrangements, and catering orders.
  • Maintain a schedule of available dates for events, considering setup and teardown requirements while preventing double bookings across various locations.
  • Collaborate with public safety, procurement, and risk management personnel to ensure compliance with all safety, licensing, insurance, and liability guidelines.
  • Provide recommendations for event timing, layout, and other arrangements to guarantee an optimal experience within facility parameters.
  • Work collaboratively with key departments (public safety, catering, IT, facilities, etc.) to meet institutional requirements during event planning and execution.
  • Act as a point of contact for vendors prior to, during, and following events.
  • Support internal departmental and student events on campus.
  • Assist with campus tours and perform additional duties as needed.

As a member of the Welcome Desk team:

  • Staff the welcome desk during varying hours, operational between 8:00 a.m. and 7:00 p.m. (currently Tuesdays and Thursdays until 6:30 p.m.).
  • Deliver exceptional customer service, anticipating and exceeding the needs of faculty, staff, students, and guests.
  • Connect campus visitors with relevant information or university resources in a friendly and engaging manner.
  • Assist with various office operations responsibilities, including project work such as data analysis, report preparation, or project planning as required.
  • Handle tasks of a confidential nature.

  • Understand and adhere to all external and internal regulations and policies, including those related to NCAA, GLIAC, and other role-specific regulations.
  • Undertake additional responsibilities as assigned.

Qualifications:

  • High School Diploma required; relevant college coursework or a bachelor’s degree preferred.
  • Previous experience in administrative roles, business offices, event planning, or event sales is preferred.
  • Proven organizational and technical skills.
  • Bilingual proficiency in English and Spanish is preferred.
  • Demonstrated ability to effectively plan, set goals, meet deadlines, and prioritize workloads.
  • Maintain a professional appearance and demeanor.
  • Proven ability to handle financial data and utilize computerized systems accurately and effectively.
  • Ability to work cooperatively with individuals from diverse backgrounds and foster a positive work environment, encouraging collaboration and constructive resolutions to conflicts.
  • Effective communication skills and the ability to relate well to students, parents, faculty, staff, and others, while upholding confidentiality.
