Job description:
We are seeking a dedicated Community Ambassador with a strong understanding of the unique needs of a law firm and a client-centric approach. Prior experience in a law office setting is preferred but not mandatory. In this pivotal role, you will represent the office by assisting with daily operations, ensuring a professional office environment, and supporting the team. Responsibilities will include coordinating meetings, managing mail, and delivering outstanding customer service to both guests and employees.
Key Responsibilities:
Front Desk Services:
- Greet and direct guests to their designated locations.
- Handle incoming and outgoing calls with professionalism.
- Create and manage employee access badges and visitor information.
- Collaborate with building management to address suite maintenance needs.
- Communicate promptly regarding medical emergencies and building security matters.
- Undertake additional duties as required.
Print and Mail Services:
- Sort, scan, and distribute incoming mail and packages efficiently.
- Generate labels for outgoing correspondence.
- Assist with production of binders or transcripts.
- Coordinate printing, scanning, and copying tasks as necessary.
- Manage fax communications and courier arrangements.
- Perform light editing of documents.
- Execute additional tasks as requested.
Office and Meeting Services:
- Ensure conference room furnishings and equipment are well-maintained and secure.
- Prepare daily reports for conference room setups and participate in event meetings.
- Set up and dismantle conference rooms as needed.
- Oversee conference room supplies and equipment arrangements.
- Manage food and snack deliveries, restock pantries and kitchens, and maintain cleanliness in conference areas.
- Regularly monitor and order office supplies.
Qualifications:
