We are in search of a bright and energetic individual with a proactive attitude, comfortable in a fast-paced environment, to join our team! This position entails supporting and executing front desk, shipping and receiving functions, as well as various other office services for our client.
Key Duties and Responsibilities:
- Greet and warmly welcome employees as they enter the building.
- Efficiently check in visitors and communicate their arrivals to the relevant parties.
- Maintain a clean and professional front desk and lobby area.
- Receive, sort, and distribute mail to the appropriate recipients or departments.
- Prepare and process outbound courier shipments using computer systems or service providers’ equipment, such as UPS.
- Ensure outgoing mail is delivered to the courier or post office in a timely manner.
- Serve as a liaison for mail services for client departments, ensuring timely collection of outgoing mail (letters, parcels, U.S. Postal, interdepartmental).
- Track and maintain records and logs of mailing activities.
- Sort and distribute incoming parcel shipments from USPS, UPS, DHL, and FedEx.
- Maintain an adequately loaded postage machine and request maintenance when needed.
- Deliver boxes of paper to designated copy areas.
- Handle confidential and sensitive materials appropriately.
- Perform daily restocking of coffee and tea supplies and clean coffee machines as necessary.
- Load, run, and empty dishwashers as required.
- Provide relevant notes for the Janitorial team in their communication binder.
- Assist with set-up for on-site events and training rooms as needed.
- Inventory and order mailing and general office supplies.
- Perform other duties as assigned.
Qualifications:
- Minimum of 2 years of experience in customer service and shipping/receiving preferred.
- Corporate reception or front desk experience is a plus.
- Strong customer service skills are essential.
- High school diploma or equivalent required.
- Knowledge of Postage Meters, UPS, FedEx, and DHL is advantageous.
- Experience with international shipping is a plus.
- 1-3 years’ experience with Microsoft Office software is preferred.
- Ability to work effectively both independently and as part of a team.
- Excellent verbal and written communication skills.
- Ability to adhere to the employer’s attendance policy.
- Capability to lift up to 50 lbs. regularly.
- Strong attention to detail.
