Responsibilities:
- Welcome visitors at the front desk, providing a warm greeting, directing them as necessary, and ensuring effective communication.
- Manage incoming phone calls by screening, answering, and directing them appropriately.
- Receive, sort, and distribute daily mail efficiently.
- Monitor and document carrier alerts on a daily basis.
- Log all claims accurately within our Management System.
- Communicate with clients regarding outstanding bills via email, text, or phone call.
- Scan, attach, and organize documents as needed.
- Process and record payments appropriately.
- Issue client certificates for vehicles through various communication channels (email, text, or mail).
- Audit the New Business sheet and upload related documents to our Agency Management System.
Qualifications:
- Proven experience as a Receptionist, Front Office Representative, or in a related role.
- Proficient in Microsoft Office Suite.
- Familiarity with office equipment (e.g., fax machines, printers).
- Professional demeanor and appearance.
- Strong written and verbal communication skills.
- Excellent typing and keyboarding abilities.
- Proactive and resourceful problem-solving skills.
- Exceptional organizational capabilities.
- Ability to multitask and manage time effectively, prioritizing tasks appropriately.
- A customer-oriented attitude.
- A high school diploma is required; additional certifications in Office Management are a plus.
