Job description:
Under the supervision of the Records Supervisor, this role involves the review, interpretation, and processing of new and amended orders, as well as the adjustment of accounts and scheduling future adjustments and charging rates as specified by the orders. Responsibilities include creating and updating electronic files, entering new cases into the Michigan Child Support Enforcement System, adjusting accounts, and communicating with clients regarding these adjustments. The position also entails answering departmental phone calls and serving as a backup for the Front Desk Receptionist and Cashier.
Essential Functions:
- Review, interpret, and process new and amended orders while creating and updating electronic data files. This includes establishing and adjusting current balances, charging rates, credits, payment priorities, and scheduling necessary actions for accounts.
- Make adjustments to accounts and communicate these changes to clients through verbal and written correspondence.
- Respond to departmental phone inquiries, providing information about office policies, payment locations, staff availability, and scheduling details. Conduct computer look-ups to secure necessary information for responding to inquiries from clients, attorneys, and other agencies, and transfer calls as needed.
- Process incoming departmental emails and faxes by reviewing documents and indexing court orders, motions, objections, and client correspondence into the virtual filing system, addressing general inquiries, or forwarding them to the appropriate staff.
- Enter new cases from the Court Clerk’s Office and Prosecuting Attorney’s Office into the system, and mail new client packets containing account information and supporting documents.
- Manage inactive cases by stopping child support, making adjustments, and informing clients of their case status in writing.
- Reactivate cases as necessary, which includes reinitiating child support and reimbursement, adjusting the account accordingly, and updating the client on their case and payment amount.
- Address inquiries from Child Protective Services and manage outgoing postal mail as needed.
- Serve as a backup for the Front Desk Receptionist, responsible for greeting visitors, checking in clients for conferences/hearings, answering general questions, and responding to payment history requests.
- Provide backup to the Cashier as needed, which includes processing payments, issuing receipts, and addressing questions related to balances owed.
- Attend mandatory training sessions as required by Ingham County/Circuit Court/FOC and the Office of Child Support.
- Uphold strict standards of confidentiality as per OCS/IRS guidelines.
- Assist in updating FOC training manuals and training both new and existing employees.
Performs other duties as assigned.

Employment Qualifications:
