Job description:

The Executive Assistant will provide comprehensive support to our CEO and senior leadership team, playing a pivotal role in the effectiveness of the executive office and the organization as a whole. This position requires a highly skilled and proactive individual who will serve as a trusted partner to the CEO and senior leaders, managing daily operations and ensuring the seamless execution of strategic priorities.

PRINCIPAL FUNCTIONAL RESPONSIBILITIES:

  • Calendar Management: Sustain and optimize the executive’s calendar, judiciously prioritizing meetings, appointments, and deadlines.
  • Communication Management: Act as the primary gatekeeper for executive communications, drafting, reviewing, and managing correspondence and messages.
  • Meeting Coordination: Organize and coordinate both internal and external meetings, including preparation of agendas, materials, and follow-up actions.
  • Travel Arrangements: Plan and oversee complex domestic and international travel logistics, including itineraries, accommodations, and expense reporting.
  • Document Preparation: Draft, format, proofread, and manage high-level documents such as reports, presentations, and proposals.
  • Project Management: Lead or support various projects, tracking progress, managing deadlines, and ensuring deliverables align with strategic objectives.
  • Stakeholder Interaction: Engage with internal teams, board members, and external stakeholders on behalf of the executive while exhibiting professionalism and tact.
  • Expense Management: Prepare and monitor expense reports, budgets, and reimbursements accurately and in a timely manner.
  • Event Planning: Assist in organizing executive offsites, leadership retreats, and key organizational events.
  • Research & Analysis: Conduct research and prepare briefing materials to support strategic decision-making.
  • Executive Delegation Support: Make informed decisions in the executive’s absence that align with organizational goals and values.

ESSENTIAL QUALIFICATIONS AND SKILLS:

  • A minimum of 5 years of proven experience supporting C-level executives in a fast-paced environment.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with collaboration tools (e.g., Zoom, Teams, Slack) is preferred.
  • Exceptional written and verbal communication skills.

The starting salary range for this position is $90,000 to $110,000, commensurate with experience, in addition to eligibility for a performance-based bonus program.

Shift
This position can be full-time or part-time, with full-time availability preferred.
