Job description:

Assist the Director of Sales, Sales Managers, and Catering Manager in enhancing customer satisfaction through proficient clerical and administrative support. This includes managing guest and hotel communications via the sales team and performing light selling duties for small groups and functions as instructed by the Director of Sales.

Qualifications:

  • A high school diploma or equivalent is required; college coursework in a related field is preferred. Previous experience in a hotel or related environment is advantageous.
  • Ability to type at a speed of 55 words per minute.
  • Proficient in Microsoft operating systems, OnQ, and Sales Pro Enterprise.

Job Responsibilities:

  • Manage the Accounts Coverage Program as required.

  • Prepare sales contracts, banquet event orders, correspondence, reports, and various forms as required by the sales team.
  • Maintain lead logs and statistics for strategic outbound sales initiatives.
  • Ensure the Sales systems (such as Delphi, SalesPro) are up to date and functioning properly.
  • Assist managers with creative projects, including proposals, promotional materials, and event invitations.
  • Facilitate effective communication and timely paper flow within the department and with other departments.
  • Ensure the proper distribution of sales contracts to clients, the team, and relevant department heads.
  • Provide pricing quotes for meeting inquiries and collaborate with Sales leadership for small groups and meetings.
  • Collaborate with Sales leadership to detail upcoming functions and confirm arrangements.
  • Distribute relevant documentation (BEOs, rooming lists, contracts) to appropriate departments.
  • Assist guests and clients with requests and manage necessary paperwork for approval by management.
  • Conduct site inspections for the department as needed.
  • Enter group pickup information and preferred production data in Sales Pro.
  • Maintain a flow of thank you letters for groups/functions, ensuring proper distribution and filing.
  • Monitor and order office supplies and sales collateral to maintain adequate stock.
  • Contact clients for guarantee numbers 72 hours prior to functions, create and close house accounts, and complete AV orders.
  • Organize in-house deliveries, amenities, welcome letters, and transportation schedules as necessary.
  • Attend Sales Meetings, record minutes, and distribute them accordingly.
  • Complete additional tasks related to the Sales and Marketing efforts of the hotel, as required by management.
  • Possess familiarity with Aimbridge Hospitality sales policies and house rules.
  • Ensure associates consistently exhibit attentiveness, friendliness, and courtesy toward guests, management, and peers.
  • Perform any additional duties assigned by the Director of Sales relevant to the property.
