Job description:
We are currently looking for a dependable and technologically skilled Administrative Assistant/Bookkeeper to enhance our office operations and serve as the initial point of contact at our front desk. This position offers comprehensive administrative support across multiple departments and plays a vital role in project initiation and time tracking. The ideal candidate will be detail-oriented, well-organized, and adept at managing various responsibilities with a high degree of professionalism.
Key Responsibilities:
- Welcome visitors and manage front desk activities, including processing deliveries and assisting internal staff.
- Answer and redirect incoming phone calls to the appropriate team members.
- Order and oversee the inventory of office supplies.
- Provide occasional administrative assistance to the HR and Accounting departments, including support with accounts payable, accounts receivable, and general ledger entries.
- Input job details into project management software based on information received from project managers.
- Communicate updates and coordinate project setups with both internal departments and external partners.
- Record crew time in timekeeping software using submitted documentation.
- Ensure accurate and timely data entry for 5–6 field teams.
- Adhere to established processes and procedures (training will be provided).
Preferred Qualifications:
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong communication and organizational abilities.
- Willingness to learn new software and systems (training for ProContractor ERP and the Time Clock system will be provided).
- Previous experience in administrative support or office coordination is advantageous.
