Job description:
The Office of Legal and Acquisition Services is responsible for managing the agency’s legal matters, contractual agreements, and the acquisition of goods and services. Our attorneys provide legal counsel to the Ohio Department of Job and Family Services (ODJFS), aiming to deliver quality and timely legal advice, in addition to conducting research and analysis for the agency’s program and policy areas. Furthermore, we oversee the administration of hearings and the promulgation of rules for the agency.
In this role, you will operate under administrative direction to perform a variety of non-routine administrative tasks. Your responsibilities will include independently making decisions and judgments regarding the non-legal interpretation of policies and procedures to resolve issues, as well as preparing correspondence and reports. You will support the Bureau of State Hearings Prehearing Resolution (PHR) process by reviewing eligibility status and benefits, analyzing both hardcopy and computer system information (e.g., Hearing and Appeals Tracking System [HATS X]; Ohio Benefits) in advance of discussions with appellants, their representatives, and county agency staff. Effective communication is essential, as you will interact with appellants, appellant representatives, and county agency personnel through phone, in-person meetings, and written correspondence to address discrepancies in program eligibility and benefits, thereby minimizing the necessity for hearings. Documentation of appeal withdrawal attempts and completions in HATS X will also be part of your responsibilities. Additionally, you will provide technical assistance to county agency staff using various formats such as webinars, manuals, and desk aids.
You will utilize a personal computer and relevant software applications to produce, store, calculate, and retrieve reports, confidential files, and other documents, ensuring the maintenance of accurate and timely electronic case records. Additionally, you will address sensitive inquiries and provide front desk phone coverage. Other related duties may include attending staff meetings, training sessions, workshops, and conferences, as well as maintaining organized logs, records, and files.
This position operates on a Monday to Friday schedule, from 8:00 a.m. to 5:00 p.m., with flexibility available. Travel may be required as needed, for which you must provide your own transportation. If you wish to operate a state vehicle, a valid driver’s license is required.
Qualifications
The ideal candidate will possess at least one of the following qualifications:

OPTION 1: Completion of associate core coursework in secretarial science or business office applications from an accredited career school or community college, along with a minimum of 12 months of experience in a secretarial or administrative professional role.

OPTION 2: 30 months of experience or training in a secretarial or administrative professional capacity.

OPTION 3: 12 months of experience as an Administrative Professional 2, classification 16872.
- OPTION 4: An equivalent combination of qualifications as outlined above.

Compensation Information
This position falls under the State of Ohio’s OCSEA Pay Schedule, Pay Range 30. Unless dictated by legislation or a union contract, the starting salary will correspond to the minimum of the specified pay range (Step 1, currently $24.66 per hour). These pay ranges allow for a structured path to salary increases, with new hires progressing to the next step in the range after 6 months of employment, then annually thereafter. Additionally, Cost of Living Adjustments will increase wages within these ranges each fiscal year. The current salary progression is outlined below:
