Job description:

As the Event Director for the esteemed Warwick Hills Golf & Country Club, you will be responsible for planning, coordinating, and executing a diverse array of events such as weddings, corporate meetings, golf tournaments, and social gatherings. Your role is crucial in delivering exceptional experiences for our members and guests, ensuring each event aligns with the club’s high standards of excellence and hospitality. Key Responsibilities:

Event Planning and Execution:

  • Oversee the planning and execution of all club events from inception to completion.
  • Collaborate with clients to create customized event experiences that cater to their specific preferences.
  • Manage all event logistics, including food and beverage services, audiovisual requirements, and décor.
  • Facilitate ad-hoc communications with the Food & Beverage Manager and Executive Chef.
  • Oversee the ordering and completion of event layouts, buffet cards, place cards, decorations, and linen orders.
  • Ensure timely and accurate communication of banquet and event details at least two weeks prior to each event.
  • Maintain comprehensive records of banquet and event information, including room and buffet layouts.
  • Share final event details with staff one week before the event.
  • Manage and maintain the event calendar on a weekly, monthly, and annual basis.
  • Ensure preservation and accuracy of individual event folders.
  • Supervise decoration inventory.
  • Oversee events during their scheduled times.

Budget Management:

  • Develop and manage event budgets to ensure cost-effective execution without compromising quality.
  • Attach all invoices to Jonas Events and oversee the information included on event invoices.
  • Manage billing processes, including invoicing and closing out event accounts.
  • Apply payments related to events and assist in crafting accurate profit and loss reports.
  • Negotiate contracts with vendors and suppliers to secure optimal rates and services.

Sales and Marketing:

  • Promote event services to potential clients through networking and marketing initiatives.
  • Communicate upcoming event details with the marketing team to enhance visibility.
  • Annually update banquet, wedding, and golf event materials.
  • Collaborate with the golf professional to keep the golf calendar current.

Team Leadership:

  • Coordinate with the Food & Beverage Manager and staff to deliver exemplary service during events.
  • Lead all banquet event order meetings with department heads.
  • Facilitate communication with the halfway house and cabana for banquet coordination.
  • Collaborate with the Food & Beverage Manager to conduct regular training sessions, ensuring staff are well-informed about event protocols and standards.

Member and Guest Relations:

  • Cultivate strong relationships with club members and guests to enhance their experience and satisfaction.
  • Collect feedback to continually improve event offerings and services.

Compliance and Safety:

  • Ensure that all events comply with health and safety regulations as well as club policies.
  • Maintain thorough documentation for compliance and reporting purposes.

Qualifications:

  • A Bachelor’s degree in Hospitality Management, Event Management, or a related field is preferred.
  • A minimum of 5 years’ experience in event planning or management, ideally within a hospitality or country club environment.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent interpersonal and communication skills, characterized by a customer-centric approach.
  • Proficiency in event management software and the Microsoft Office Suite.
