The Event and Culture Coordinator is instrumental in cultivating a connected, engaging, and high-performing workplace environment. This position entails planning and executing firm-wide events, staff engagement activities, and cultural initiatives designed to support employee and advisor recognition and retention. In addition to overseeing event management, the coordinator plays a vital role in providing operational support, which includes office logistics and coordination of executive meetings.
The ideal candidate will be highly organized, detail-oriented, and passionate about crafting meaningful employee experiences that embody the firm’s values and mission.
Key Responsibilities:
Firm-Wide Events
- Strategically plan and manage logistics for major firm-wide events, including scheduling, vendor coordination, and execution.
- Maintain and synchronize the firm-wide events calendar, ensuring compatibility with the Home Office Event Calendar and recognition travel schedules.
- Act as the event manager for key annual events.
- Develop event collateral such as Save-the-Dates, Invitations, Signage (Both Digital and Physical), Speaker Notes, Agendas, and Presentations.
- Serve as a liaison for community partnerships and professional associations to enhance advisor visibility and recruitment efforts through external event coordination.
Staff and Office Events
- Support recruitment initiatives by organizing engaging open houses and opportunities.
- Oversee the setup and ordering for Monthly Breakfast Club gatherings.
- Manage the planning, communications, and logistics for culture-related events.
Culture Initiatives
- Collaborate with the Culture Committee to create and implement programs that promote a rewarding and inclusive workplace.
- Manage planning, communications, and logistics for all culture-related activities and recognition events.
- Lead staff recognition initiatives for birthdays, anniversaries, and significant life events (e.g., baby showers, weddings, retirements).
- Facilitate advisor recognition for exam completions and other career milestones.
- Coordinate and execute firm observances and celebrations.
Operational Support
- Coordinate office relocations and workspace setups, ensuring minimal disruption and effective communication across teams.
- Manage firm gifting programs and branded merchandise, including inventory management, ordering, and distribution for both staff and clients.
- Oversee scheduling for off-site leadership meetings for the executive leadership team.
- Act as the point of contact for meal ordering at the office.
Qualifications:
- Event Planning Experience: 2 to 3 years.
- Technology Proficiency: Familiarity with Adobe Creative Suite (Photoshop, Illustrator, Lightroom, etc.) and Microsoft Office Suite, alongside a strong overall technological acumen.
- Interpersonal Skills: Exceptional interpersonal abilities that promote constructive relationships.
