Job Description:
The Human Resources Assistant III position is a non-supervisory role responsible for organizing and facilitating office management activities across major divisions within the Human Resources Department. This classification encompasses Human Resources Assistants at levels I-IV, each designated with varying responsibilities.
In this role, the Human Resources Assistant III will lead and execute general office tasks supporting various functions, including Employee Services, Classification & Compensation, Human Resource Management, Human Resource Information Systems, Labor Relations, Policy & Planning, Operations, Recruiting and Talent Development, and Performance Management. The position necessitates a solid understanding of organizational procedures, techniques, and practices, along with proficiency in operating various office equipment such as fax machines, photocopiers, scanners, video conferencing tools, and telephone systems, as well as the ability to create and edit documents.

- Administer pre-employment tests and conduct background checks.

- Assist in the administration of the compensation and classification programs.
- Contribute to organizational training and development initiatives.
- Review and compare documents, forms, and applications for accuracy, completeness, grammar, and formatting related to Human Resource functions.
- Conduct or assist in new employee orientations.
- Organize conferences, meetings, and special events, and arrange travel for office personnel.
- Maintain and enter information into HRMS databases.
- Develop materials for public speaking engagements.
- Greet visitors and callers, addressing inquiries or directing them to the appropriate personnel.
- Maintain organizational charts and related human resource directories.
- Monitor the performance appraisal process.
- Independently track commitments made during meetings and follow up as necessary.
- Assemble documents for briefings and conferences.
- Maintain functional information for budgeting purposes.
- Compile reports from HRMS records as needed.
- Manage scheduling and event calendars.
- Reproduce correspondence and other printed materials as required.
- Oversee human capital development and talent measurement strategies, along with related metrics and reports.
- Operate electronic mail systems, facilitating communication within Human Resources divisions and other organizations.
- Use office equipment efficiently and coordinate repairs when necessary.
- Assist in recruitment efforts, including the coordination of temporary staff.
- Perform other human resource-related duties as assigned.
- Prepare meeting minutes from notes or recordings.
- Generate standardized and custom reports related to finance, personnel, payroll, or departmental needs.
- Order office supplies and arrange for necessary repairs on equipment.
- Serve as a liaison among Human Resource divisions, management, and staff, facilitating communication and follow-up on assignments.
- Establish and manage electronic or paper filing systems, maintaining and updating documents such as attendance records and correspondence.
- Sort, open, and distribute incoming mail.
- Provide support to department managers and directors.
- Utilize computer applications for database management and word processing.
- Compose simple or repetitive correspondence following established formats.
Minimum Qualifications:
To qualify for the Human Resources Assistant III position, candidates must meet the following minimum education and experience requirements:

Education: A high school diploma or General Educational Development (GED) certificate is mandatory. An Associate’s degree in Business Administration or a related field is preferred.
- Experience: Relevant experience in one or more Human Resource functions, including but not limited to Employee Services, Classification & Compensation, Human Resource Management, Human Resource Information Systems, Labor Relations, Policy & Planning, Operations, Recruiting and Talent Development, and Performance Management. Additionally, a minimum of three (3) years of progressive experience is required for the Human Resources Assistant III role.
Equivalency: Equivalent combinations of education and experience that provide the requisite knowledge, skills, and abilities will be evaluated on an individual basis.
