Job description:
We are looking for a highly organized and detail-oriented Intake Coordinator to support our daily front office operations and ensure the seamless functioning of our workplace. The successful candidate will possess excellent communication skills, a proactive mindset, and the ability to efficiently multitask in a dynamic environment.
Duties & Responsibilities:
- Administrative Support: Manage office supplies, process mail, and maintain filing systems while assisting the Office Administrator with various tasks and projects.
- Front Desk/Receptionist Duties: Welcome and sign in visitors, as well as manage incoming and outgoing phone calls.
- Scheduling & Coordination: Facilitate the organization of meetings, appointments, and company events.
- Communication: Serve as a key point of contact among employees, clients, and vendors.
- Office Maintenance: Support the Office Administrator in ensuring the workspace remains organized, functional, and adequately supplied.
- HR Support: Aid in the badging process for new and temporary employees.
Requirements & Qualifications:
- Proven experience in an Office Coordinator, Receptionist, Administrative Assistant, or similar role.
- Strong organizational, communication, and time-management skills.
- Excellent written and verbal communication capabilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Experience with workflow management software such as monday.com or Asana.
- Ability to manage multiple tasks and prioritize effectively.
- High school diploma or equivalent; an Associate’s or Bachelor’s degree is preferred.
Preferred Qualifications:
- Familiarity with office management software and administrative tools.
- Experience with receptionist duties and guest intake.
- Background in customer service is a plus.
- Strong critical thinking skills.
- Understanding of basic administrative workflows and compliance guidelines.

Additional Information:
