Job description:
A Front Desk Administrator is sought to provide essential support within a dynamic law firm. The position requires availability from Monday to Friday, 8:30 a.m. to 5:00 p.m.
Key Responsibilities:
- Collaborate with attorneys and support staff to discuss assigned cases or projects, update calendars, and schedule meetings.
- Welcome and direct visitors at the front desk, ensuring a positive and professional experience.
- Manage incoming phone calls by answering, screening, and forwarding as appropriate.
- Maintain a tidy and presentable reception area, ensuring the availability of necessary office supplies and materials.
- Receive, sort, and distribute daily mail, deliveries, and faxes; order office supplies while keeping inventory up to date.
- Enter attorney time into Timeslips accurately.
- Copy, prepare, organize, store, and retrieve case files, including evidence, exhibits, deposition transcripts, pleadings, and other related documents.
- Open new files, update existing files, and process weekly payables.
- Execute other administrative duties as assigned.
Qualifications:
- Prior experience as a Receptionist or in an Administrative role, complemented by a strong customer service orientation.
- Proficiency in Microsoft Office Suite, with the ability to maintain multiple calendars.
- Excellent communication, organizational, multitasking, and time management skills, along with the ability to prioritize tasks effectively.
- Capability to thrive in a fast-paced and occasionally stressful environment.
- Resourcefulness and proactivity in resolving issues as they arise.
- A professional demeanor, attitude, and appearance are essential.
- Ability to maintain confidentiality, exercising discretion and sound judgment.
