Main Duties and Responsibilities:

  • Oversee all aspects of incoming and outgoing mail services, ensuring the timely receipt, sorting, and distribution of mail, packages, and office supplies on a daily basis. Track and sign for all packages and accountable mail.
  • Manage the receipt of FedEx, UPS, and all other deliveries, logging tracking numbers into the tracking system accurately.
  • Maintain precise records and logs of all incoming and outgoing mail and packages.
  • Conduct efficient mail sweeps across various floors in a timely manner.
  • Prepare all mail and packages with the correct postage and tracking information.
  • Investigate and resolve issues related to undeliverable or unknown mail recipients.
  • Stock and restock kitchen areas and copy stations daily, reporting any issues to the appropriate personnel.
  • Maintain an inventory of essential supplies.
  • Communicate effectively and professionally through verbal and written channels, including email and phone communications.
  • Provide exceptional customer service consistently, without exception.
  • Respond to inquiries and customer service requests promptly and professionally.
  • Assist and support other team members as needed.
  • Perform additional duties as assigned by management.

Qualifications:

  • High school diploma or equivalent required.
  • Working knowledge of mail and distribution principles or equivalent office experience.
  • Proficiency in Microsoft Office products, including Word, Excel, Outlook, and Teams.
  • Demonstrated exceptional customer service skills, adaptability to dynamic environments, and strong interpersonal skills.
  • Quick learner with the ability to acquire new skills rapidly.
  • Flexibility to manage multiple, and at times conflicting, priorities.
  • Strong initiative; capable of working independently with minimal supervision.
  • Must remain diplomatic in stressful situations; team-oriented with the ability to build robust working relationships with both internal teams and external stakeholders.
  • Excellent verbal and written communication skills, particularly in customer service contexts.
  • Ability to maintain confidentiality when handling highly sensitive materials.
  • Physically capable of walking, bending, kneeling, standing, and/or sitting for extended periods.
  • Capable of lifting or moving objects weighing 50 lbs or more as needed.
