Job description:

To perform the essential functions of this role, the successful candidate will fulfill receptionist responsibilities for the Administrative Building, Satellite Offices, and additional locations as required during the absence of full-time staff. This role involves collaborating with the Executive Assistant to the Tribal Manager to support GTB’s coordinated efforts. Key responsibilities include managing the telephone system, maintaining an organized filing system, and assisting community members and GTB constituents with necessary information. Additional general secretarial and receptionist duties will be assigned by the supervisor as needed.

Essential Duties and Responsibilities:

  • Available to cover office hours from 8:00 a.m. to 5:00 p.m., Monday through Friday, when called.
  • Demonstrate punctuality, initiative, strong organizational skills, and the ability to collaborate effectively with others.
  • Uphold the highest level of confidentiality regarding all matters related to GTB members, clients, staff, and associated records.
  • Adhere to all GTB policies and procedures, including a comprehensive understanding of the Personal Policy book.
  • Collaborate directly with the Executive Assistant to the Tribal Manager.
  • Manage daily incoming calls and direct them to the appropriate GTB personnel.
  • Guide visitors, GTB members, clients, and guests to the relevant personnel within GTB.
  • Maintain daily in/out schedules and itineraries for personnel based in the office.
  • Ensure the accurate processing and forwarding of mail through the mail route system, including reading each item and placing it in the correct mailbox.
  • Operate a multi-line telephone system with a clear and professional speaking voice at all times.
  • Access and use telephone and cell phone numbers in GTB and other Tribal Nations’ directories.
  • Enhance knowledge of all GTB service programs and make appropriate referrals to the relevant office or individual.
  • Assist with the preparation of correspondence and utilize the mail posting machine to ensure daily mail processing and readiness for pick-up.
  • Provide support to other office staff for tasks such as copying, mailings, and organizational needs as time allows.
  • Participate in building recycling initiatives.
  • Attend training sessions to enhance skills relevant to this role and support personal growth.
  • Participate in the annual mandatory staff meeting.
  • Maintain logs for requests related to travel, checks, and purchase requisitions, ensuring appropriate delivery of documentation.
  • Assist with emergency drills and procedures as needed.
  • Undertake additional responsibilities as assigned by the supervisor that align with the overall coordination of this position and events affecting the organization.
