As the Front Office Specialist, you will be the first point of contact for patients and visitors entering our clinics. Collaborating closely with the clinical team, your responsibilities will include welcoming patients and visitors, facilitating patient registration, updating patient records, processing payments, and ensuring that patients with or without pre-existing appointments receive prompt attention.

Work Schedule:
Your primary hours will be Monday through Thursday from 9:30 a.m. to 6:00 p.m. and Friday from 9:00 a.m. to 5:30 p.m., with occasional evening hours until 7:00 p.m. as needed. Importantly, there are no weekend shifts required.

Requirements:

Description of Primary Duties & Responsibilities:

Patient Interaction: Engage with patients in a welcoming and professional manner, addressing inquiries and providing assistance both in-person and over the phone.

  • Greet and welcome patients to the clinic with a friendly and professional demeanor.
  • Efficiently register patients, ensuring accurate completion of all required forms.
  • Address insurance and billing inquiries, offering clear and concise information.
  • Assist patients who may be ill or distressed, using available resources to provide support.

Payment Collection: Follow clinic financial policies to collect payments, insurance co-pays, and prescription charges.

  • Proactively request to keep a card on file, follow up on outstanding balances, and secure prompt patient payments.

Clinic Coordination & Collaboration: Work in conjunction with the healthcare team to maintain smooth patient flow and efficient clinic operations, contributing to a positive and organized environment.

  • Manage patient reservations (both online and walk-in) while optimizing patient satisfaction and provider schedules.
  • Assist with scheduling referrals for specialist follow-ups as required.
  • Maintain attention to detail across all tasks, seamlessly navigating multiple software systems to adhere to established protocols.

Front Desk Management:

  • Answer and direct phone calls professionally and promptly.
  • Keep the reception area organized and neat, ensuring a welcoming environment for patients.
  • Perform various administrative tasks, including photocopying, filing, and maintaining daily activity logs.
