Job description:

This is an on-site position, Monday through Thursday, from 2:00 PM to 7:00 PM.

SUMMARY: The Receptionist is responsible for managing the front desk, greeting clients, and answering phone calls. Key duties include securing electronic signatures for all new client intake paperwork and maintaining strong communication with the office manager and therapists. All Agency staff are expected to prioritize quality improvement in their roles to foster a safe and nurturing environment for both clients and staff. This commitment to excellence entails teamwork, enhancing service delivery, achieving departmental goals, and executing other job-specific tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Each employee is expected to exemplify a consistent witness for Jesus Christ and uphold the Standard of Moral Conduct and Statement of Faith. Other essential functions include:

  • Fostering a team-oriented atmosphere within the workplace, promoting constructive working relationships within the assigned regional Encompass team and across other Agency departments.
  • Creating a welcoming environment for guests and visitors, serving as the primary representative of the office/Agency to the public with friendly, compassionate, and inviting behavior.
  • Answering and screening phone calls, directing them to the appropriate personnel.
  • Conducting client intakes when potential clients contact the office.
  • Greeting visitors and clients, directing them to the appropriate areas or individuals.
  • Scheduling client appointments and preparing necessary paperwork.
  • Composing and typing routine correspondence.
  • Performing routine office maintenance, overseeing cleanliness in the office and reception area, which includes tasks such as removing trash and tidying up.
  • Managing car and room reservations/schedules.
  • Providing additional clerical and administrative support as needed.

Other duties may be assigned.

LANGUAGE SKILLS: Proficiency in reading and comprehending simple instructions, short correspondence, and memos is essential. The ability to write simple correspondence and effectively present information in one-on-one and small group situations to customers, clients, and other employees is also required.

MATHEMATICAL SKILLS: The ability to add and subtract two-digit numbers and perform multiplication and division with 10’s and 100’s is necessary. This includes operations involving American money and measures of weight, volume, and distance.

REASONING ABILITY: The ability to solve practical problems and handle a variety of concrete variables in situations with limited standardization is required. This includes interpreting various instructions in written, oral, diagram, or schedule format.

COMPUTER SKILLS: The successful candidate should be proficient in using a computer, with particular familiarity with internet navigation, accounting and database software, as well as Microsoft Outlook, Excel, and Word.
