Pay: $17 per hour
At Great Wolf, the Sales and Catering Coordinator plays a vital role in supporting both clients and Lodge sales teams, facilitating the successful attainment of revenue, quality, and repeat business objectives.
Essential Duties & Responsibilities
- Perform administrative tasks that support all group sales efforts as directed by the Director of Sales and Catering. Responsibilities include, but are not limited to, preparing sales kits, documenting prospective accounts, organizing files, drafting contracts, preparing invoices, ordering office supplies, and data entry.
- Create Banquet Event Orders (BEOs) and Resumes for clients and operational departments to convey specific requirements, agreed-upon details, and pricing for meetings, events, or programs.
- Accurately enter rooming lists, routing information, tax-exempt statuses, and payment verifications into Company software systems.
- Monitor room blocks and maintain regular communication with relevant property personnel regarding group room pick-ups and rooming lists on a weekly basis.
- Act as the Lodge’s representative in investigating and resolving any group-related complaints or conflicts, including but not limited to billing issues, misplaced items, reservations, and contract discrepancies.
- Organize and coordinate client appreciation activities and in-house lodge events.
- Provide detailed information regarding meeting-specific needs throughout the entire booking process, from negotiation to departure.
- Attend pre- and post-conference meetings as necessary.
- Manage all in-suite VIP packages and amenities as required.
- Maintain the Posting Master (PM) account ledger by tracking all open PM accounts.
- Assist the Sales Team with any special projects.
Basic Qualifications & Skills
- Associate’s degree in hotel/hospitality or a related field, or a combination of equivalent experience and education.
- Proficiency in Microsoft Office Suite.
- Successful completion of a criminal background check and drug screening.
- Strong professional communication skills, both verbal and written.
