Pay: $17 per hour

At Great Wolf Lodge, the Sales and Catering Coordinator plays a crucial role in providing comprehensive support to both clients and the Lodge’s sales teams, facilitating the successful attainment of revenue, quality, and repeat business objectives.

Essential Duties & Responsibilities

  • Perform administrative tasks to support all group sales initiatives as directed by the Director of Sales and Catering (DOSC), including, but not limited to, the preparation of sales kits, documentation of prospective accounts, organization of files, drafting of contracts, invoice preparation, procurement of office supplies, and data entry.
  • Prepare Banquet Event Orders (BEOs) and Resumes for clients and operational departments, effectively communicating specific needs, agreed-upon details, and pricing for meetings, events, or programs.
  • Input accurate rooming lists, routing information, tax-exempt status, and payment verification into company software systems.
  • Monitor room blocks and regularly communicate with relevant property personnel regarding group room pick-ups and rooming lists.
  • Serve as the lodge’s representative in investigating and resolving group complaints or conflicts, including billing issues, misplaced items, and discrepancies related to reservations and contracts.
  • Organize and coordinate client appreciation events and in-house lodge activities.
  • Provide detailed information regarding meeting-specific requirements throughout the entire booking process, from negotiation to departure.
  • Attend pre- and post-conference meetings as necessary.
  • Manage all in-suite VIP packages and amenities as required.
  • Maintain the Posting Master (PM) account ledger by diligently tracking all open PM accounts.
  • Assist the Sales Team with various special projects as needed.

Basic Qualifications & Skills

  • An Associate’s degree in hotel/hospitality or a related field, or equivalent experience/education combination.
  • Proficient in Microsoft Office Suite.
  • Successful completion of a criminal background check and drug screening.
  • Strong professional communication skills, both verbal and written.

  • Previous experience in a resort or hospitality setting.
