Job description:

The Sales Coordinator is responsible for managing routine sales office tasks and administrative functions within the community.

Key Responsibilities:

  • Greet and build rapport with guests and prospective residents, providing them with pertinent information about the community as needed.
  • Perform general administrative duties including answering phones, typing, copying, faxing, filing, and other assigned tasks.
  • Assist in the creation of marketing materials, such as brochures and flyers for homes for sale, community events, and related content under the direction of management.
  • Aid prospective residents by checking the status of Sun Homes inventory.
  • Review listings for new and pre-owned homes, conduct showings for potential residents, and assist with rental applications at the direction of the Community/Sales Manager or Sales Supervisor.
  • Refer all sales prospects to the appropriate Manager, accurately complete prospect cards, and promptly enter leads into NetSuite.
  • Collaborate with the Underwriting department to obtain approvals for prospective resident applications and track all approvals and denials.
  • Review and code invoices and statements for Manager approval.
  • Address and resolve routine resident or customer inquiries in a professional and timely manner, directing more complex issues to the appropriate manager.
  • Ensure office supplies are adequately stocked and initiate supply orders as necessary.
  • Prepare and print critical documents, such as lease agreements, addendums, and notices, as required.
  • Assist in planning and coordinating resident relations events and activities within the community.
  • Maintain records and files according to the Operations Manual.
  • Complete new move-in incentive requests for non-Sun Homes deals.
  • Perform other duties as assigned.

Qualifications:

  • High School Diploma or GED (Required)
  • Minimum of 1 year experience in a sales coordinator or similar administrative role (Required)
  • Strong customer service skills
  • Effective problem-solving abilities
  • Exceptional verbal and written communication skills
  • Professional appearance
  • Intermediate to advanced proficiency in Microsoft Office Suite, email, and internet, with timely data entry capabilities
  • Valid driver’s license
