Job description:
Under the general direction of the Deputy Director of Nutrition and Senior Services, the Senior Services Program Specialist II is responsible for the planning, organization, and implementation of client intake processes, assessments, eligibility determinations, and appointment scheduling for the organization’s Senior Services Programs. This role will specifically focus on programs such as Home Delivered Meals (HDM), Senior Project Fresh, Commodities, and Transportation. Additionally, the Specialist will assist with volunteer coordination as needed and provide high-level administrative support to the Deputy Director by preparing reports, managing information and referral requests, performing database entry, and handling various clerical functions, including program correspondence and client communications.
Essential Functions:
- Uphold all programmatic and client confidentiality standards.
- Assist clients in accessing agency services and provide support during initial contact, assessments, appointment scheduling, and ongoing evaluations as necessary.
- Facilitate the client intake process and the completion of required applications and documentation.
- Evaluate client eligibility for services within the Senior Services Program portfolio, ensuring adherence to funding sources and agency guidelines.
- Maintain accurate hard copy and digital records of client eligibility and services as programmatically required.
- Conduct data entry into the CAAC Client Management system for all Senior Services and Nutrition Programs.
- Obtain and maintain required certifications as mandated by programmatic funders and stakeholders.
- Stay informed about current regulations, systems, and procedures relevant to the Senior Services Program portfolio.
- Design and manage spreadsheets, appointment calendars, and databases for program operations.
- Efficiently file and retrieve documents and reference materials.
- Collect and analyze data to prepare monthly and annual reports.
- Liaise with internal and external staff at all levels to ensure effective communication.
- Coordinate and complete project-based tasks as assigned.
- Supervise, coach, and train volunteers as required.
- Monitor the necessity and utilization of equipment and program supplies.
- Advise the Deputy Director on the purchasing and maintenance of program supplies.
- Conduct client surveys to assess needs and satisfaction regarding Food Services Programs.
- Participate in skills and certification training as mandated by the Deputy Director of Nutrition and Senior Services.
- Perform other duties as assigned by management.

Work Environment:
This position operates within a professional office setting, at off-site venues, and in outdoor event spaces, including regular visits to clients’ homes. The role utilizes standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands:
The physical demands described here are representative of those necessary for an employee to successfully perform the essential functions of this position. While carrying out the responsibilities of this role, the employee is frequently required to talk and/or hear. The individual will often need to stand, walk, use hands for fine motor tasks, and reach with hands and arms. Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are scheduled between Monday and Friday, from 8:00 a.m. to 4:30 p.m. (exact hours to be determined). Evening and weekend work may be required based on job responsibilities.
Travel:
Travel is primarily local during business hours; however, some out-of-area and overnight travel may be necessary.
Required Education and Experience:
An associate degree in human/social sciences, interpersonal/public communication, or a related field is preferred. A GED combined with three years of relevant work experience is acceptable. Candidates should have three years of successful work or volunteer experience in the nonprofit sector, with a preference for experience in volunteer training and coordination.
Additional Eligibility Qualifications:
A commitment to the goals and mission of CAAC is essential. A valid driver’s license and reliable personal vehicle are required, with the ability to pass all monitoring and annual vehicle inspections.
