The Office of the Associate Provost for Undergraduate Education (APUE) is seeking a diligent Office Assistant to deliver exceptional customer service and administrative support, ensuring the efficient functioning of our department. This role will represent various units, including the Pavlis Honors College, the Enterprise Program, and Essential Education, serving as a positive ambassador for these areas. The Office Assistant will provide professional administrative assistance to faculty, staff, and students within the APUE sphere. As the primary point of contact for students, faculty, staff, and visitors, strong interpersonal and communication skills are vital. This position plays a crucial role in fostering a welcoming and productive atmosphere within the Office of the Associate Provost for Undergraduate Education.
Responsibilities and Essential Duties
- Deliver outstanding customer service to a diverse group of internal and external stakeholders in a professional, friendly, and courteous manner.
- Exercise sound judgment and discretion when managing confidential information and addressing non-routine issues, facilitating contact with appropriate personnel as needed.
- Provide administrative support for departmental functions, including handling phone calls and emails, directing inquiries, receiving and routing mail, and composing routine correspondence.
- Assist staff with project coordination and event planning tasks, including catering orders and room reservations.
- Support faculty and staff with various administrative tasks as requested.
- Maintain calendars for conference rooms and reserve rooms upon request.
- Organize department files, calendars, and email distribution lists.
- Facilitate travel arrangements for professional staff, faculty members, guests, and student teams.
- Support the organization of staff meetings and other gatherings; take meeting minutes as requested.
- Manage credit card transactions and upload invoices for unit staff and faculty members.
- Assist instructors with ordering, gathering, and printing course materials, as well as grade submissions.
- Aid in managing honors program tasks such as creating and organizing new student files, updating existing student files, coding students in Banweb, maintaining listservs, and generating reports.
- Assist with EPAFS.
- Coordinate prospective student tours scheduled through Admissions.
- Conduct inventory and maintain stock levels of office and kitchen supplies.
- Assist with ordering marketing materials, distributing marketing content, and maintaining departmental bulletin boards and displays.
- Arrange rooms, equipment, and other services; process key requests and building access.
- Collaborate with IT and Facilities for office and building needs and enhancements.
- Commit to learning continuous improvement strategies and applying them to daily operations while actively engaging in college and university improvement initiatives.
- Apply safety-related knowledge, skills, and practices to daily work.
- Perform additional duties as assigned.
Required Education, Certifications, Licensures
- High school diploma or an equivalent combination of education and experience that demonstrates comparable knowledge and abilities.
Required Experience
- One year of experience in an administrative clerical support role.
- One year of experience utilizing personal computers and basic software packages, including Microsoft Office Suite and Google Suite.
- One year of experience in a customer service environment.
- Experience using advanced features of spreadsheet and database applications, such as formulas, sorting, and importing/exporting files.
Desirable Education and/or Experience
- Familiarity with BANNER, Webfocus, Perceptive Content, and Concur.
- Experience in budget management.
Required Knowledge, Skills, and/or Abilities
- Outstanding interpersonal, customer service, and written/oral communication skills.
- Ability to manage multiple tasks with meticulous attention to detail and a high degree of accuracy.
- Proficient in using MS Office Suite and Google Suite.
