Job description:

Michigan Technological University is seeking a Senior Office Assistant to provide professional and administrative support to the Office of Admissions. This role involves assisting prospective students and their support networks, as well as high school counselors and teachers, throughout the admissions process.

Responsibilities and Essential Duties:

  1. Play a vital role in the domestic application processing team by uploading application materials, releasing admissions decisions, and generating daily error reports.
  2. Answer main admissions phone lines, respond to voicemails, and handle general Admissions email inquiries.
  3. Analyze and update data in application systems such as Slate and Banner.
  4. Address issues as they arise while processing applications.
  5. Compile and organize high school and college transcripts for system entry.
  6. Process and distribute incoming mail.
  7. Resolve discrepancies related to applicant residency.
  8. Maintain accurate records of high school CEEB codes.
  9. Assist with the mailing of acceptance packets, deposit packets, and parent guides.
  10. Collaborate with various administrative units, including academic departments, Financial Aid, Registrars, Payroll Services, and the Graduate School.
  11. Manage duplicate applications effectively.
  12. Provide support in troubleshooting prospective student login issues.
  13. Supervise front desk student assistants and delegate projects as necessary.
  14. Facilitate daily campus visits by assisting guests with registration, greeting, and inquiry responses.
  15. Support large-scale on-campus recruitment events, including Open House and Preview Day.
  16. Commit to continuous improvement and innovative solutions to enhance the admissions process.
  17. Stay informed about Michigan Tech news, events, facts, figures, degree programs, and related institutional information.
  18. Engage with continuous improvement strategies and apply them to daily tasks while actively participating in University initiatives.
  19. Apply safety-related knowledge and practices consistently in the workplace.
  20. Perform additional duties as assigned.

Required Education, Certifications, and Licensures:
A high school diploma or an equivalent combination of education and experience that demonstrates comparable knowledge and abilities.

Required Experience:

  • A minimum of 1 year of clerical or administrative support experience.
  • A minimum of 1 year of experience using personal computers and basic software packages, including Microsoft Office Suite and Google Suite.
  • A minimum of 1 year of experience in a customer service setting.

Desirable Education and/or Experience:

  • A Bachelor’s degree or equivalent experience demonstrating comparable knowledge and capabilities.
  • Experience with databases or CRM systems, such as Banner and Slate.
  • Experience in a high school or higher education setting.

  • Exceptional interpersonal, customer service, and oral/written communication skills.
  • Proven ability to work effectively in environments with frequent interruptions while meeting established deadlines.
