Essential Duties and Responsibilities:
The role encompasses various transportation, logistics, and backhaul functions.
Transportation:
- Address all incoming calls to resolve issues for drivers, sales representatives, and customers. Provide drivers with updates regarding their routes.
- Utilize software tools (such as MS Excel, Omnitracs, Tandem, and Kronos) to generate, update, and disseminate reports and files essential for efficient transportation operations. This includes managing attendance, DVIRs, backhaul spreadsheets, delivery window dispatch, driver key logs, trailer temperature logs, transportation route updates, network updates, and additional transportation metrics.
- Oversee the damages and shorts process by notifying vendors and drivers to facilitate resolution while completing related documentation.
- Assist in training and developing junior clerical team members.
- Perform other assignments as directed by the manager.
Backhaul and Logistics:
- Relay crucial information to support backhaul and transportation operations, including backhaul arrivals, daily dispatch updates, backhaul scheduling, service updates in Omnitracs, and any identified delivery issues.
- Coordinate logistics for scheduling pick-up appointments for backhaul orders and vendors, optimizing the process while adhering to restrictions, minimizing costs, and ensuring compliance. Complete all necessary paperwork to ensure seamless logistics communication.
- Explore new backhaul opportunities in collaboration with buyers and replenishment managers to enhance division efficiency.
- Execute additional tasks as assigned by the manager.

- Internal: Operations, Transportation, Warehouse personnel, Drivers
- External: Vendors
Work Environment:
- The position is based in an office environment; however, it may occasionally require work in a warehouse setting, including cooler and freezer areas with temperatures that can drop to -5 degrees.
Minimum Qualifications:

Experience: A minimum of three years in an administrative role related to Warehouse or Transportation. Prior experience in logistics, transportation, and/or warehouse settings is required.

Knowledge/Skills/Abilities:
- Exceptional verbal and written communication skills.
- Strong telephone etiquette and customer service capabilities.
- Proficient documentation and record-keeping skills.
- Ability to manage multiple tasks in a fast-paced atmosphere.
- Solid math, analytical, and organizational skills with a keen attention to detail.
- Intermediate computer proficiency, particularly in Microsoft Word, Excel, Access, and Outlook.
- Aptitude for problem-solving and critical thinking to independently address intermediate-level issues.
- Strong collaborative skills to support team members within the department and division.
Education:
- High school diploma or GED/equivalent required.
Preferred Qualifications:
- Familiarity with DOT Hours of Service Regulations.
- Knowledge of the company’s geographic delivery area.
- Understanding of payroll processes.
- Insight into driver qualification files.
- Experience with fuel reporting.
Certifications/Training:
- Experience with software such as Omnitracs, Tandem, Kronos, XATA, Manhattan, PowerDock, and Airclic is preferred.
